Kidology, Inc. (“Kidology”, “we”, “us”) respects the privacy of the families we serve. This policy explains what information this website collects, why we collect it, who we share it with, and the choices you have. It covers kidologyinc.com, including our online shop.

Information you give us

Most of the information we hold is information you chose to send us through a form on this site.

Contact and enquiry forms. Your name, email address, phone number, and whatever you write in your message.
Therapy intake and referral forms. Your child’s name and date of birth, your contact details, your insurance details, the services you are asking about, and the concerns you describe. Some of this is health information about a child — see the section below.
Event, party, waiting-list and careers forms. The contact details and details of your request or application.
Shop orders. Your name, email address, phone number, and billing and shipping address, plus what you ordered. Card details are handled by our payment processor and never reach us — see “Payments” below.
Account details, if you choose to create an account in the shop: your email address and a password, which is stored encrypted.

Form submissions are emailed to the Kidology team and are also stored in this website’s database so that we can find your enquiry again. Some intake forms also generate a PDF copy that is sent to us by email.

Health information about your child

Our intake and referral forms ask about your child’s development, diagnoses and therapy needs. We ask for this only so that we can respond to your request and determine whether our services fit your child, and we treat it as confidential.

Information you submit through this website is not the same as the clinical record we keep once your child becomes a patient. That record is governed by our practice’s privacy practices and by applicable law, including HIPAA where it applies. If you would prefer not to send details about your child over the internet, call us instead at 215-330-4116 and we will take your information by phone.

Information collected automatically

Cookies set by this site. These keep your shopping cart and your login working. They are necessary for the site to function.
Analytics. We use Google Tag Manager and Google Analytics to understand how people find and use the site — pages viewed, approximate location, browser and device type, and how you arrived. This is used in aggregate; we do not use it to identify you personally.
Server logs. Our hosting provider records IP addresses and requests for security and troubleshooting.

You can block or delete cookies in your browser settings. Blocking necessary cookies will stop the shop from working.

How we use your information

To answer your enquiry and schedule an evaluation or service.
To verify insurance coverage where you have asked us to.
To take, pack and ship your shop order, and to email you about that order.
To process refunds and replacements.
To keep the website secure and working.

We do not sell your personal information, and we do not send marketing email to people who have not asked for it.

Payments

Shop payments are processed by Stripe. Your card number is entered on a form served by Stripe and goes directly to them. Kidology never sees or stores your full card number. We receive only confirmation that a payment succeeded, the last four digits, and the card brand. Stripe processes your data under its own privacy policy.

Who else sees your information

We share your information only with the service providers that make the site and the shop work, and only with what they need:

Our web host, which stores the website and its database.
Our email provider, which delivers form submissions and order emails.
Stripe, for payments.
Google, for analytics.
Shipping carriers, which receive the delivery address for your order.

We may also disclose information if the law requires it, or to protect the safety of a child or another person.

How long we keep it

Form submissions are kept in the website database while they are useful for responding to you and for our records. Order records are kept as long as we need them for accounting, tax and refund purposes. You can ask us to delete an enquiry you sent through the website; see below.

Children

This website is intended for parents, caregivers and professionals, not for children. We do not knowingly collect information directly from children. Information about a child reaches us only when a parent or caregiver sends it.

Your choices

You can ask us what information we hold about you from this website, ask us to correct it, or ask us to delete it. Write to hello@kidologyinc.com and tell us what you are asking for. We may need to keep some records where the law or our clinical obligations require it.

Security

This site is served over an encrypted connection (HTTPS), and access to the website’s administration and to form submissions is limited to Kidology staff and our website provider. No system is perfectly secure, so please do not send us more detail than you need to.
